Job Description:

  • Front office duties including telephone and meet & greet clients arriving at office
  • Uploading and maintaining the listing  / photos of properties onto the various Property Portal web sites
  • Administration, control & storage of all FICA documentation and liaising with agents to follow up on outstanding FICA requirements – serve as company’s FICA Compliance officer
  • Deal tracking of deals with attorneys and keeping agents  / management updated with progress reports via Prop Control
  • Sending welcome letters and copy signed OTP contracts to Sellers / Purchasers / Attorneys
  • Sending covering letters for commission to attorneys
  • Preparing agent commission schedules for signoff by agents and preparing Company invoices for payment of Commission.
  • Coordinating payment authorisations for suppliers with accountant
  • Coordinating the diary of the professional photographer
  • File all signed agents contracts electronically
  • Purchase and order office supplies, photocopier, organise office cleaner and arrange refreshments for meetings.
  • Ordering agent marketing material for Starter Packs
  • Onboarding new agents with documentation, EAAB applications, access to software programs and starter packs
  • Office filing electronically
  • Assisting from time to time with different functions of a real estate company as directed by the branch manager / principal


  • Well Spoken and Fluent in English
  • Able to work independently , as well as within a team environment.
  • Excellent Customer service and communication skills are essential
  • Computer Literate, be able work on iMac Desktop as well as sound Microsoft Excel, Microsoft Word, Prop Ctrl, Lightstone, Fusion, IOL, EMS knowledge.
  • Be able to think on your feet and prioritize work load.
  • Be Honest, Responsible and Trustworthy
  • Be hard working and unwavering.

  • Common sense, you need to be able to think on your feet and make sensible decisions
  • Discretion, when handling matters on behalf of the Branch Manager / Principal
  • Have a valid driver’s license and own transport
  • Prior Real Estate Administration Experience would be advantageous.
